Job Description

Our client is a non-profit organization with a great mission behind them! They are looking for a detail-oriented and proactive Project Coordinator to support the team during this busy period. They are currently seeking a sophisticated and proactive Project Coordinator to bolster their operational capacity during a period of significant growth. This individual will serve as a key pivot point for the team, requiring at least 4 years of experience in complex administrative planning/management, end-to-end project coordination, and operational management. A background in Contracts Management is essential because this role oversees the technical and administrative rigor necessary to maintain organizational compliance and project momentum. This is a fully on site opportunity located in Washington, DC. This is a temporary opportunity lasting at least for 3 months (depending on performance and department needs, there is potential for extension and/or a permanent role for the right individual). If this sounds like a fit for you, please apply here.

Responsibilities

Project Management & Tracking (Core Support):

  • Maintain Project Momentum: Act as the "traffic controller" for miscellaneous tasks and smaller facility initiatives, following up with internal teams to ensure deliverables don't stall.
  • Assist the VP in maintaining overall progress trackers for ongoing construction.
  • Monitor project deadlines and flag potential delays early so the VP can intervene proactively.
Communication & Stakeholder Coordination:

  • Facilitate Cross-Department Routing: Help route critical project updates and design changes between the VP and key internal teams (Facilities, Technology, Security, Exhibitions) and external teams.
  • Serve as a reliable point of contact for external contractors, architects, and suppliers to collect status updates, certificates of insurance, or basic project inquiries.
  • Organize Stakeholder Meetings
  • Contract Management
Administrative Support:

  • Calendar Management: Manage the Vice President of Facilities and Capital Planning's calendar, scheduling new meetings and rescheduling them to align with shifting priorities.
  • Assist with maintaining and organizing team-wide information. Update team organizational tools, such as dashboards, metrics, work plans, roadmaps, and project management systems.
